Cancellation and Refund Policy

At DT Physio, we understand that circumstances can change, and we strive to accommodate your needs as best as we can. To ensure the smooth operation of our services and respect the time of both our therapists and clients, we have established the following cancellation and refund policy:

Notice Requirement for Cancellation or Rescheduling: We require a minimum of 24 hours' notice for any cancellations or rescheduling of appointments. This allows us to offer the time slot to other clients who may need it.

Cancellation Refunds (For Non Package of Rehabilitation): If you cancel an appointment with more than 24 hours' notice, you are eligible for a full refund of the session fee. Refunds will be processed within 5-7 business days to the original payment method.

Package Refunds:

  • If you have purchased a rehabilitation package and wish to discontinue before completing all sessions, you may request a refund for the remaining unused sessions.
  • The refund will be calculated based on the sessions used at the non-discounted individual session rate. This ensures you only pay for the sessions you've used without the package discount applied.
  • Any remaining balance will be refunded within 5-7 business days to the original payment method. Please note that any applicable processing fees for issuing refunds may be deducted from the total refund amount. You will be informed of any such fees in advance.
  • Example: If you purchased a package of 20 follow-up sessions at a discounted rate of £1,800 (with a 10% discount from the standard rate of £100 per session, totaling £2,000), and used 3 sessions, the cost of those 3 sessions will be recalculated at the standard rate of £100 per session. Thus, the used sessions would cost £300, and the remaining balance of £1,500 (£2,000 - £300) will be refunded to you.

Late Cancellations and No-Shows:

  • A fee of the full amount of your treatment session will be charged if less than 24 hours' notice is given or an appointment is missed.
  • Clients who cancel at the last minute or do not show up for their appointment will not be entitled to a refund. If you have purchased a rehabilitation package, the missed session will still count as one of your appointments and will be deducted from your package total.
  • Rescheduling within 24 hours: If you reschedule an appointment within the 24-hour window, it will be treated as a late cancellation, and the full session fee will be charged. However, if 24 hours' notice was given for rescheduling, there will be no additional costs incurred.

Emergency Situations: We understand that emergencies happen. If you need to cancel or reschedule due to an emergency, please contact us as soon as possible. We define emergencies as unforeseen and unavoidable situations such as medical emergencies, accidents, or severe weather conditions. We will handle these situations on a case-by-case basis and may waive the late cancellation fee at our discretion.

Processing Fees: Any applicable processing fees for issuing refunds may be deducted from the total refund amount. You will be informed of any such fees in advance.
